Hosting and server logs
The website, database and mailbox are hosted by IONOS SE, Elgendorfer Str. 57, 56410 Montabaur, Germany, on servers in Germany (data processing agreement under Art. 28 GDPR). The server processes technically necessary data (IP address, time, requested URL, status, referrer, browser) for delivery and security (Art. 6(1)(f) GDPR). Log files containing IP addresses are deleted after 7 days at the latest. We do not set cookies for visitors and do not load third-party content on normal page views.
Requests to accommodation operators
To keep profiles accurate, we write to the publicly listed business contact address and ask operators to confirm individual details (Art. 6(1)(f) GDPR – legitimate interest in accurate information). The message is drafted by our AI assistant, labelled as such and approved by our team. Via a personal link, operators can answer; we store the answers, the name given and an optional message. Name and message are deleted 24 months after the request is closed; confirmed details remain part of the profile.
Emails to us. If you email us – including replies to our messages – we store sender, recipients, subject, text and attachments in our mailbox and, where possible, link the message to the relevant profile in order to handle it (Art. 6(1)(b) or (f) GDPR). Emails are held by our mail provider IONOS (data centres in the EU) and on our server; we delete them 24 months after receipt. Automatic out-of-office replies are not processed further.
Photos and further permissions (e.g. use on social media, contact regarding partner offers) are processed only with explicit consent (Art. 6(1)(a) GDPR). We record time, wording and sender of each consent as proof (Art. 7(1) GDPR). Consent can be withdrawn at any time by email; affected photos are then removed. Proof of consent is kept for 3 years after withdrawal.
Profiles and public sources
Profiles contain information about accommodation businesses taken from publicly available sources (mainly the operator's website, OpenStreetMap, Open-Meteo weather data) and checked manually (Art. 6(1)(f) GDPR). To read websites and draft texts we use the AI service of Anthropic PBC (USA); only public website content and our profile data are transmitted, on the basis of the EU Standard Contractual Clauses (Art. 46(2)(c) GDPR). The score rates accommodation businesses; it is not an automated decision about individuals (Art. 22 GDPR).
Maps
Maps load only after you click “Karte laden” (load map). Your browser then requests map tiles from the OpenStreetMap Foundation (United Kingdom; adequacy decision), which receives your IP address (Art. 6(1)(a) GDPR).
Training camps
When you click “Zum Anbieter” (go to provider), we redirect you via our own address and only count how many redirects per day go to each provider – no IP address, cookie or other data about you. We add a tag to the target URL (e.g. “utm_source=tri-hotel.de”) so the provider sees you came from us; from then on, the provider's privacy policy applies.
Google reviews (Google Maps)
On profile pages you can click “Google-Bewertungen laden” to show a Google Maps embed with the property's Google rating. Only after this click does your browser connect to Google Ireland Limited (Dublin), transmitting your IP address; Google may set cookies and transfer data to Google LLC in the USA (certified under the EU-US Data Privacy Framework). Legal basis: your consent by clicking (Art. 6(1)(a) GDPR). Google ratings are not part of our score.
Your rights
You have the right of access, rectification, erasure, restriction, data portability and to withdraw consent at any time (Art. 15–20, 7(3) GDPR). Just email hallo@tri-hotel.de.
Right to object (Art. 21 GDPR): where we process data based on legitimate interests, you may object at any time on grounds relating to your particular situation. We will then stop processing unless we demonstrate compelling legitimate grounds or the processing serves legal claims.
You may lodge a complaint with a supervisory authority (Art. 77 GDPR). Ours is:
